Key ResponsibilitiesCRM Data Entry & Management

  • Enter, update, and maintain accurate records within Zoho CRM
  • Track follow-up activities and maintain organized client/prospect information
  • Ensure data integrity and completeness at all times

Online Research

  • Conduct business, market, and prospect research using Perplexity Pro and other web resources
  • Compile and summarize findings into clear, actionable summaries
  • Assist with gathering information for executive communications and outreach

Executive Email Support

  • Draft and personalize professional outbound emails using templates
  • Adapt messaging and tone appropriately for different audiences
  • Assist with written correspondence and follow-up communication

Administrative Support

  • Organize digital documents and files
  • Schedule reminders and follow-up tasks within the CRM
  • Assist with additional administrative and coordination tasks as needed

Required Qualifications

  • Minimum of 5 years of administrative, executive assistant, or office support experience
  • Experience with Zoho CRM or similar CRM platforms such as Salesforce or HubSpot
  • Strong written and verbal communication skills
  • Comfort conducting online research and synthesizing findings into actionable summaries
  • High attention to detail and accuracy in data entry
  • Strong organizational and time management skills
  • Ability to work independently with minimal oversight
  • Reliable, punctual, and professional demeanor
  • Comfortable working with cloud-based software and online research tools

Preferred Qualifications

  • Prior experience supporting C-suite or senior-level executives
  • Familiarity with Perplexity Pro or AI-assisted research tools
  • Experience with Zoho suite products, including Zoho Mail and Zoho CRM
  • Background in business development, healthcare, consulting, or professional services environments

Work Environment & Schedule

  • This position is not remote. Candidates must be able to commute to the San Marco area 3–4 days per week
  • Start and end times are negotiable within the 8:00 AM – 5:00 PM window
  • Consistent weekly scheduling will be coordinated with the selected candidate
  • Professional, low-pressure office environment focused on collaboration, quality work, and minimal micromanagement
